Legal basis
We process personal data on the basis of Regulation (EU) 2016/679 (GDPR), the BDSG and – where relevant – the TDDDG (formerly TTDSG). Depending on the process, we rely on Article 6 Para. 1 lit. a GDPR (consent), lit. b (contract/initiation), lit. c (legal obligation) or lit. f (legitimate interest).
Your rights
You have the right to information (Article 15 GDPR), correction (Article 16), deletion (Article 17), restriction (Article 18), data portability (Article 20) and objection (Article 21). You can revoke your consent at any time with future effect. You also have the right to lodge a complaint with a data protection supervisory authority, particularly in the Member State in which you reside.
3. Hosting and server log files
When you access the pages, the hosting provider processes technically necessary data (IP address, date/time, URL accessed, referrer, user agent). The legal basis is Article 6 Paragraph 1 Letter f GDPR (security and stability of operations). Logs are usually automatically deleted after a short period of time, unless security reasons require longer retention.
4. Cookies and Session Data
We use technically necessary cookies or comparable storage, in particular for the session (admin login) and the CSRF protection of forms. These are required for operation (Art. 6 Para. 1 lit. f GDPR, Section 25 Para. 2 TDDDG). No marketing cookies are set as long as optional tracking is not active.
5. Contact form
If you write to us using the contact form, we save your name, email, optional subject and message as well as the time. The purpose is to process your request (Art. 6 Para. 1 lit. b or f GDPR). Transmission via email only takes place if a shipping service is configured; otherwise the message remains in the website database. We delete messages as soon as they are no longer necessary for the purpose or you request us to delete them.
6. Comments
Only registered members can write comments on releases, mixcasts, labels or artists. The member account ID, the display name, optionally the account email, the comment text and, to prevent misuse, a hash of the IP address (not plain text) are stored. Comments are checked before publication. Legal basis: Article 6 paragraph 1 letter b GDPR (use of community functions) or letter f (communication on the website). You can request that your comment be deleted.
7. Newsletters
Double opt-in and the ban on coupling apply to the newsletter: Registration only becomes effective after clicking on the confirmation link (Art. 6 Para. 1 lit. a GDPR, Section 7 Para. 2 UWG). E-mail, optionally name, time of consent, source of the form, privacy version and an IP hash are processed. Every email contains an unsubscribe link (list-unsubscribe). You can revoke your consent at any time. After you log out, we save the status for verifiable purposes until you request complete deletion. Details and cancellation: newsletter.
8. Email sending (SMTP)
Confirmation and newsletter emails are sent via the SMTP server stored in the admin. The mail server provider processes the recipient address and content as a processor or as the person responsible for its service. The legal basis is Article 6 (1) (a) and (f) GDPR.
9. Fonts and Icon CDN
This website loads fonts from Google Fonts and icons from cdnjs/Font Awesome. The respective provider can process your IP address and technical data (third-country transfer to the USA possible, Art. 44 ff. GDPR, EU-US Data Privacy Framework if applicable). Legal basis: Article 6 Paragraph 1 Letter f GDPR (uniform presentation).
10. Mailorder shop
You can inquire about one or more products via the shop without obligation. There is no online payment. Your information (name, email, delivery address, optional message and the requested items) will be saved and sent to us by email in order to process the request (Art. 6 Para. 1 lit. b GDPR). A copy can be sent to your email address. If you are registered as a member, your name, email and delivery address can be pre-filled from the profile settings; You can change the information before submitting. The data will be deleted when it is no longer required for processing, provided there are no legal retention obligations to the contrary.
11. Mix and release applications
You can suggest a DJ mix or a release using the application forms in the Mixcast and Music area. We store name, email, optional artist name and location, a short bio, provided social media links, title and download/stream URL, and an optional message. If a member account is logged in, the associated ID is saved. The purpose is to check the submission (Art. 6 Para. 1 lit. b or f GDPR). A copy can be sent to your email address. The data will be deleted as soon as it is no longer required for processing or you request us to delete it.
12. Language selection
The website is multilingual (German, English, French, Spanish, Chinese). The selected language can be saved in the URL (prefix like /en/) and optionally in a cookie (sb_locale) so that the language choice is retained. The legal basis is Article 6 Paragraph 1 Letter f GDPR or Section 25 Paragraph 2 TDDDG (technically necessary storage). You can delete the cookie in your browser; without a cookie, the standard language or URL prefix applies.
13. Automatic translation
To provide foreign language content, we can have texts (titles, teasers, descriptions, posts) translated by machine. The relevant content is transmitted to the Google translation service (Google Ireland Ltd. or Google LLC, USA) and alternatively to MyMemory (Translated S.r.l., Italy). Only editorial content is transmitted, no user data. The legal basis is Article 6 (1) (f) GDPR (legitimate interest in a multilingual website).
14. Call statistics (internal)
For sortings such as “most clicked” we count page views in our own database. There is no profiling and no cross-device tracking. Legal basis: Art. 6 Para. 1 lit. f GDPR (range measurement under your own responsibility).
15. Visitor statistics (internal admin dashboard)
For security and technical evaluation, we store anonymized usage data in our own database: a hash of the session, a hash of the IP address (no plain text), optionally the country from server headers (e.g. Cloudflare), browser/device class, path accessed, referrer and approximate length of stay. Security events (e.g. detected attack attempts, failed logins) can contain the IP address in plain text, to the extent that this is necessary for defense purposes (Art. 6 Para. 1 lit. f GDPR). Visitor logs are automatically deleted after 90 days. A contradiction to range measurement is about the parameter ?perf_optout=1 or the cookie sb_perf_optout as well as via the browser header DNT. Legal basis for range measurement: Art. 6 Paragraph 1 Letter f GDPR.
16. User/member area
If a login or member area is used, we process the data required for registration and login (e.g. email, password hash, session) as well as voluntarily stored profile data (display name, bio, profile picture, social links). Legal basis: Article 6 Paragraph 1 Letter b GDPR. Optionally, you can save a delivery address (name, street, zip code, city, country, telephone) in the profile settings. This address is used to pre-fill forms (e.g. mail order request, vinyl donation pool) and to carry out shipping processes (Art. 6 Para. 1 lit. b GDPR). The address is not publicly displayed on the profile. You can change or empty them at any time in your profile. We only store passwords hashed. Accounts can be deleted upon request or via the account settings, provided there are no legal retention requirements.
17. Vinyl Donation Pool (PayPal)
A donation pool can be offered to finance vinyl pressings for selected releases. Only registered members can participate. We store the member account ID, the selected amount and currency, the visibility (donor name public or anonymous), the payment status and the delivery address specified for shipping (name, street, zip code, city, country, optionally telephone). The address is mandatory because shipping (e.g. vinyl) is required when participating in the pool; it is stored with the donation record and is not displayed publicly. An address stored in the profile can pre-fill the form; You can enter a different shipping address before sending. Payment is made via PayPal (PayPal (Europe) S.à r.l. et Cie, S.C.A., Luxembourg), usually via a deposited money pool; The amount, PayPal transaction ID and PayPal status can be transmitted to us (pool comparison or instant payment notification). Only after this confirmation is the donation considered accepted. Only the display name (if not chosen anonymously) and the amount are displayed publicly - not the email or delivery address. Legal basis: Art. 6 Para. 1 lit. b GDPR (implementation of donations and shipping) and letter f (traceability of financing). PayPal’s data protection information also applies. There may be a transfer to third countries if PayPal provides for this (Art. 44 ff. GDPR).
18. Recipients and order processing
In addition to the hosting provider, recipients can include mail service providers, CDN providers or integrated platforms, depending on the function. If necessary, we conclude order processing contracts in accordance with Art. 28 GDPR.
19. Storage period
We only store personal data for as long as it is necessary for the respective purposes or as long as legal obligations (e.g. proof of newsletter consent) require storage. We then delete or anonymize the data.
20. No automated decision making
There is no automated decision-making, including profiling, within the meaning of Art. 22 GDPR.
Automatic adjustment
This declaration is regenerated by the CMS based on the active functions as soon as the generator status (2026.8), the operator data or the function list changes.
